Disclosure first. QuickEstimate publishes this article, and we sell Quickest Solar CRM, one of the two products compared here. That makes us a biased reviewer. To limit the damage, every HubSpot fact below comes from HubSpot's own pages, each linked and read on 31 October 2026. Where a page is silent we write "not shown on the pages we read", not "cannot". We did not open a HubSpot account for this article, so nothing here comes from our own testing of HubSpot. Both products are judged on the same five ceilings, HubSpot's strengths come first, and Quickest's gaps are listed as plainly as its strengths.

If you run a small solar business, there is a fair chance your first CRM was a free one, and the free one was HubSpot. That was a sensible choice. HubSpot's free CRM is real, it has no expiry date, and it works for a very small team. This guide asks a narrower question: where does the free plan stop working for an installer, and what does the next step cost in rupees?

It is not our broader view of what a solar EPC CRM needs, which handles generic CRMs in one FAQ answer. Here we read only HubSpot's free tier and its upgrade path, using the India price pages. Our earlier posts on LeadSquared and TeleCRM use different methods, so you can compare how each tool holds up.

Key takeaway. HubSpot's free CRM gives a small team up to 2 users and 1,000 contacts with no expiry. A solar installer tends to hit five ceilings: people, records, proposals, WhatsApp and structure. On HubSpot's India page, quotes need a Revenue Hub Professional seat at ₹7,087 a month. Count your ceilings first, then decide whether to stay free, pay HubSpot, or move.

What HubSpot's free CRM does well

HubSpot's free CRM is a genuine, no-expiry CRM for up to 2 people, and for a one-person or two-person installer it is a fair place to start. These are real strengths, and some of them are things Quickest does not claim.

  • No expiry, no card. HubSpot's free CRM page says it is "100% free with no expiration date", and the India pricing page says "Free for up to 2 users. No credit card required."
  • The basics of a sales desk. The same page lists contact management, deals, tasks and activities, pipeline management and a reporting dashboard in the free CRM.
  • Reports. The Sales Hub price table shows 10 dashboards with 50 reports each on the Free column.
  • A mobile app. The Sales Hub table ticks the HubSpot mobile app on every tier, and the CRM page says it is available for iOS and Android.
  • Import from another tool. CRM import is listed as a free feature, so your Excel list can come in on day one.
  • Connected apps. The CRM page says more than 2,000 apps connect through the HubSpot Marketplace.
  • Free growth tools. Forms, live chat, landing pages and email marketing are listed among the free tools, though several carry HubSpot branding on the free plan.
  • Rupee prices. hubspot.in shows an "INR (Rs)" selector and says prices are "subject to applicable tax".
  • Self-serve help. Its pricing FAQ says free users get the HubSpot Community, HubSpot Academy and the Knowledge Base.

Now the other side of the page. HubSpot's pricing and product pages that we read do not mention solar, kW sizing, the PM Surya Ghar subsidy or DISCOM approval steps. That is normal for a general CRM. It means every solar detail becomes something you set up yourself, which is the cost this article tries to put a rupee figure on. Our guide to general CRMs versus solar CRMs covers that trade-off in general terms.

The Five Ceilings: how a free CRM runs out for a solar installer

The Five Ceilings is the method we use to decide whether a free CRM is still enough. A ceiling is a point where the free plan stops you doing something your business needs, and the only way through is to pay or to change tools. In our view these five are the ones that matter to an installer, and they tend to arrive in roughly this order.

  1. 1

    Ceiling 1, people

How many staff need to add leads, log calls or change a deal? HubSpot Free covers 2 users. The owner, two reps and a telecaller already make 4.

  2. 2

    Ceiling 2, records

How many contacts will you hold in 12 months? HubSpot Free is capped at 1,000. Count old Excel leads as well as new enquiries.

  3. 3

    Ceiling 3, the proposal

Do you want the quote or proposal made and tracked inside the CRM? On HubSpot, new accounts have no free quote tool. For a solar team, this is the ceiling we would check first.

  4. 4

    Ceiling 4, WhatsApp

Do you want WhatsApp conversations to sit in the CRM? HubSpot's WhatsApp channel needs a Professional plan of a Marketing or Service hub, plus onboarding.

  5. 5

    Ceiling 5, structure

Do you need separate pipelines, required fields, permission sets or duplicate checks? HubSpot sells each of these on a higher tier.

Take a blank sheet and write the five ceilings down. Next to each, write a yes or a no for the next 12 months, not for today. Then use our rule of thumb. It is our own rule, not an industry benchmark.

  • 0 or 1 yes: stay on HubSpot Free. Move only when a second ceiling appears.
  • 2 yes: compare the next HubSpot rung with a solar CRM, using the rupee table later in this guide.
  • 3 or more yes: a free general CRM is no longer the right shape for your business. Price the climb honestly and compare.

Fast tip. Do the count with your sales reps in the room. Owners can undercount ceiling 1 (people), because reps who keep notes on their own phones and spreadsheets never appear in any user count.

Our guide to solar pipeline stages helps you answer ceiling 5, and the Excel migration guide helps you count records for ceiling 2.

Ceilings 1 and 2: people and records

HubSpot's free CRM allows up to 2 users and 1,000 contacts, and the step after it is priced per seat. Those two numbers decide most small installers' timing, because a sales team of three and a list of 1,200 old enquiries are both ordinary.

The same FAQ says "If you need more than 1,000 contacts, you can upgrade to a paid product." If an older review tells you the free plan is far more generous, trust HubSpot's current page and check the date on the review.

What happens to your free users at Starter

The step up from Free is Starter, priced per seat. HubSpot's seat guide says that "If you're upgrading from HubSpot free tools to a Starter subscription, free seats are removed once you upgrade." Your 2 free users therefore become paid seats, and every new person who edits records needs one too.

The same page describes a View-Only Seat, "free and unlimited" on paid plans. A View-Only user "can't save reports, edit records, change settings", and "can't add information to HubSpot, including logging or tracking emails". For an owner who only wants to look at the pipeline, that is useful. For a rep who must log a site visit, it is not.

A worked example, labelled illustrative

Take an installer in a mid-size town with an owner and four reps. Assume 1,400 old leads in Excel, 35 new enquiries a month, and one contact per enquiry. These are our assumptions, not data from any real company.

  • Import everything: 1,400 contacts is above the 1,000 cap on day one, before a single new enquiry arrives.
  • Import only live leads: if 300 are still live, you start at 300 and add 35 a month. You reach 1,000 after about 20 months (700 divided by 35).
  • People: 5 users against a free limit of 2, so ceiling 1 is hit on day one either way.

So the same business can sit under ceiling 2 for nearly two years or be over it immediately, depending on one decision about old leads. Our guide to moving from Excel to a solar CRM explains how to decide which old leads are worth bringing across.

Ceiling 3: the proposal is where free HubSpot stops for solar

A solar sale ends in a document: system size, items with brand and model, price, subsidy, payment terms. HubSpot's free CRM is not built around that document, and HubSpot's own help pages say quotes now sit on a paid plan.

HubSpot's quote guide says "A Revenue Hub seat is required to create quotes", available with Revenue Hub Professional and Enterprise. Its legacy quotes comparison says "Legacy quotes are no longer available to new users." A Free account keeps legacy quotes only if "one or more quotes were created in the six months prior to Sept. 3, 2025."

In plain words: a Free account created today, by the pages we read, has no way to create a quote. The tier table below puts the routes side by side. The guide page we read shows "Last updated: October 28, 2026".

Route to a quoteCan you create a quote? What HubSpot's page saysPrice shown
HubSpot Free, new accountNo, by the pages we readLegacy quotes are not available to new users; new quotes need a Revenue Hub seat.₹0

Quickest ProYesSame proposal tools for a team, with team members and permissions.₹6,999 per user per year, 3 users minimum

Watch out. HubSpot's own free CRM page still lists sales quotes among its popular free features, while its help pages say new accounts have no legacy quotes. We did not open an account to settle this. If quotes matter to you, test it in a fresh free account before you commit.

What a solar proposal needs, and what HubSpot's pages say

HubSpot's quote tool, once you have the seat, takes line items from a product library and lets you "Download PDF" of the quote. Those are good basics. The pages we read do not mention a kW-based price, product photos for panels and inverters, or a PM Surya Ghar subsidy line, so you would build those as products and custom fields yourself.

Quickest is built around that document. It has proposal templates with your logo, items, product photos and terms and conditions, applies the PM Surya Ghar subsidy inside the proposal, and shares the proposal PDF on WhatsApp. An admin sets a price list with margin, so reps quote from one set of rates, as described on the solar pricing calculator page. See the proposal generator and quotation system pages for the screens, and our guide to the PM Surya Ghar subsidy slabs for what the proposal must state.

Fair to HubSpot: its quote tool includes e-signatures and approvals on the paid plans, and Quickest does not claim either. If a signed, approved quote is your requirement, weigh that. Two more points in HubSpot's favour from its India Revenue Hub page: Professional shows a "Start 14-day trial" button, so you can test quotes before paying, and a banner offers Revenue Hub Professional at ₹4,752 per seat per month (was ₹7,920) when billed annually to new customers who also buy Sales Hub. Both terms can change, so read the page on the day you buy.

Ceiling 4: WhatsApp inside the CRM

HubSpot has a built-in WhatsApp channel, and it is not part of the free CRM. The HubSpot WhatsApp guide says it is "Available with any of the following subscriptions": Marketing Hub Professional or Enterprise, or Service Hub Professional or Enterprise.

On HubSpot's India Service Hub page, Professional starts at ₹7,497 per seat per month (listed beside ₹8,330), and the page says the cost shown "does not include the required, one-time Professional Onboarding for a fee of ₹1,25,000". The table row for the WhatsApp integration shows "Up to 1,000 messages per month". Marketing Hub Professional on the same site starts at ₹66,697 a month with a ₹2,50,000 onboarding fee.

The help page lists what changes once you connect:

  • Your number must not be connected to another WhatsApp account, the WhatsApp Business app or another WhatsApp integration.
  • Once connected, "messages will no longer appear in the WhatsApp mobile app or web app", and they appear only in the HubSpot inbox.
  • "Only new messages after you connect your WhatsApp Business Account will sync", so old conversations stay behind.
  • "A limit of 1,000 template messages per month is shared by all your connected WhatsApp business accounts."

That is a genuine strength for a company that wants one shared inbox, approved templates and a manager who can see every conversation. It is a poor fit for a team whose reps send from their own phones all day.

Quickest does not claim a WhatsApp Business API connection or an inbox that syncs conversations. What it does is narrower: the rep shares the proposal PDF on WhatsApp from the app, and saved message templates cut typing time. Whether that is enough depends on how you work. Our guides to sending a solar proposal on WhatsApp and WhatsApp follow-up templates for solar show the routine, and the WhatsApp follow-up page describes the product side.

Note. Whatever CRM you choose, check three things in writing before you move your WhatsApp number to it: where old chats go, who pays Meta's message fees, and what happens to the number if you leave.

Ceiling 5: structure, stages and solar fields

A solar sale needs more fields and more stages than a typical product sale, and HubSpot lets you add them. The question is which tier lets you add what. HubSpot's property guide says creating properties is available on "All products and plans", which is a real plus, so you can add custom fields even on Free.

The limits show up elsewhere. HubSpot's pipeline guide lists custom pipeline limits by tier: Free tools 0, Starter 15, Professional 100, Enterprise 350, and says the count "excludes the HubSpot default pipeline for each object". So a Free account works with the default deal pipeline. A separate pipeline for post-sale approvals, or one for commercial jobs, needs Starter or above.

Structure needHubSpot tier that adds itSource
Fields such as kW size, roof type, DISCOMAny plan, as custom propertiesProperty guide

Duplicate managementProfessionalFree CRM page
Calculated properties, such as price per kWProfessional (40 allowed)Product catalog
Custom objects, such as a DISCOM application recordEnterpriseFree CRM page

To see what you would build, here is the short field list we would add on day one. Whatever tool you pick, a solar CRM needs these.

Field to addTypeWhy a solar sale needs it
System size in kWNumberDrives price, subsidy and the rep's follow-up.
Average monthly bill in ₹NumberThe customer's own number is the best opening in the pitch.
DISCOM nameDropdownApproval steps differ by DISCOM.
Roof type and ownershipDropdownRented flats and shaded roofs waste a site visit.
Subsidy statusDropdownApplied, approved, received or not applicable.
Site visit dateDateLets a manager see which visits were promised and missed.
Proposal sent dateDateStarts the follow-up clock.
Decision makerTextAvoids a visit where the real decision maker is absent.

None of this is hard, and nothing here is a flaw in HubSpot. It is simply work, and each later rung of the ladder adds more of it. Quickest ships customisable lead stages, labels, follow-up reminders and filters, and lets you log activities on a lead or on several leads at once. We do not claim required-field rules, duplicate detection or custom objects. Our guide to qualifying solar leads helps you decide which fields are worth the effort.

What each step up costs in rupees

HubSpot does show rupee prices for India. The hubspot.in pricing page has an "INR (Rs)" selector and says "Price shown in INR and subject to applicable tax." The page does not say which tax, so ask for a quote with GST shown before you buy.

The cheapest paid rung is Starter. It is shown as "Starts at ₹585" per seat per month beside a regular price of ₹1,670, with a "Pay Monthly" and a "Pay Annually" option, and the page says the discount is for "new customers only" and some offers are "available for a limited time". HubSpot's CRM page adds that the offer "can be discontinued at any time". We read the headline figure as the annual option, so confirm at checkout.

The next table sets out the ladder for the five-person team from our worked example. It is illustrative: it assumes the lowest figure shown for each rung, one year, 12 months at the monthly seat price, and no tax. The rungs are separate purchases for different jobs, so we do not add them into one total.

RungWhat it buysHubSpot price shownIllustrative year, 5-person team

1. Sales Hub Starter, 5 seatsPaid seats, more templates, 15 pipelines, 500 calling minutes₹585 per seat per month, regular ₹1,670₹35,100 at the offer price, ₹1,00,200 at the regular price
2. Revenue Hub Professional, 2 quoting seatsCreate quotes with templates and e-signatures₹7,087 per seat per month, list ₹7,920₹1,70,088, or ₹1,90,080 at list

Quickest Pro, 5 usersProposals, leads, pipeline, team, reports₹6,999 per user per year, 3 users minimum₹34,995, with GST invoice

₹ math. At the ₹585 offer, a Starter seat is about ₹7,020 a year (585 x 12), close to Quickest Pro's ₹6,999. At the regular ₹1,670 it is ₹20,040 a year. The seat price is not the gap. The gap is that proposals and WhatsApp sit on other hubs, with their own seats and fees.

Two cautions keep this fair to HubSpot. First, rung 3 buys something Quickest does not: a built-in WhatsApp channel and shared inbox. Second, rung 4 buys forecasting and reporting depth beyond what Quickest claims, and a large team may need it. Our solar CRM pricing guide and the CRM software comparison for India cover what other tools charge, so you can price against more than two names.

Do not forget the unpriced cost: your own time. Setting up fields, stages, templates and quote layouts is real work. Count it in hours at your own rate, whichever tool you pick.

The Five Ceilings scoreboard: HubSpot and Quickest side by side

Here is the same five-ceiling test applied to both products. It uses only what each side publishes. Where Quickest publishes nothing, we say we do not claim it.

Which one is better for you

The honest answer depends on your count of ceilings, so here are the conditional verdicts we would give a friend.

HubSpot is better for you if

  • ✓You are one or two people and your quotes are made elsewhere
  • ✓You also run marketing: forms, email and landing pages in one tool
  • ✓You want a shared WhatsApp inbox and can pay for the Professional hub
  • ✓You have someone to design and maintain fields, pipelines and quote layouts
  • ✓You need e-signatures, approvals or forecasting

Quickest is better for you if

  • ✓You have 3 or more people, or will within a year
  • ✓Reps should send a branded proposal with the subsidy from a phone
  • ✓You want one price list with margin that every rep quotes from
  • ✓You would rather not build the solar fields and stages yourself
  • ✓Yearly billing in rupees with a GST invoice suits your books

Verdict

One or two people, quotes made elsewhere: stay on HubSpot Free, it is a good free CRM. Three or more people, or quotes that must come from the CRM: HubSpot's next rungs add up quickly, and a solar-built CRM is worth a test. We make Quickest, so weigh this verdict accordingly and test every claim yourself.

If you also looked at Zoho, our dated comparison with Zoho CRM applies the same standard. If you are weighing Excel as well, the Excel comparison covers that.

Moving from HubSpot Free to Quickest, without losing leads

Moving is a data job and a habit job. Do the data job first and keep HubSpot read-only until your team has used the new tool for a month.

  1. 1

    Export your records as CSV

HubSpot's export guide says you need Export permissions, that exports arrive by email, and that you can complete up to 300 exports in a rolling 24 hours. It recommends CSV for exports with many columns.

  2. 2

    Clean the sheet in Excel

Delete dead leads, fix phone numbers, and add the solar columns you were missing: kW, DISCOM, bill, subsidy status. Keep one row per customer.

  3. 3

    Import only live leads

Quickest supports bulk import from Excel. Bring in open deals first, then add older leads in a second batch if you want them.

  4. 4

    Rebuild your stages

Set the lead stages in Quickest to match how you really sell. Our pipeline stages guide has a starting list.

  5. 5

Run both for a month, then set a date

Keep HubSpot read-only, and agree a date after which nobody opens it. Our CRM onboarding guide covers getting reps to use the new tool.

We do not claim an integration between HubSpot and Quickest, so nothing syncs between them. Contact notes and old email logs may not move cleanly in a CSV, so copy the few that matter into the lead notes before you retire the old system.

Watch out. If you connected WhatsApp to HubSpot, your chats now live only in the HubSpot inbox, by HubSpot's own help page. Plan how to disconnect the number and keep a copy of important conversations before you cancel.

If you are still unsure what a solar CRM should do at all, start with what a solar CRM is, or use our scorecard for choosing a solar CRM.

How QuickEstimate fits

If you counted two or more ceilings, the cheapest next step is to test the free plan with one real lead. Quickest's Free plan is 1 user and 10 proposals a month, with no card, so one rep can run a real site visit through it, from roof to proposal on WhatsApp, before anyone pays.

  • Quickest pricing and the Free plan, 1 user and 10 proposals a month at no cost, and Pro at ₹6,999 per user per year with a 3-user minimum, billed yearly with a GST invoice.

We do not claim that Quickest replaces HubSpot's marketing tools, shared WhatsApp inbox, e-signatures or forecasting. If those are your needs, stay with HubSpot or use both, and write down which tool owns each customer record. Quickest is built in Surat for the part of the week after the lead is yours: the site visit, the quote, the subsidy and the follow-up.

What to do this week

  1. Run the Five Ceilings on a sheet. Write yes or no for each against the next 12 months, and count the yeses.
  2. If you have three or more yeses, open the HubSpot Sales Hub price page and the Revenue Hub price page and write down the exact rung you would need, with seats. Ask HubSpot for a written quote with tax shown.
  3. Open the Quickest pricing page, start the Free plan, and put one real lead through a proposal. Then compare the two year-one costs and the hours of setup.

Frequently Asked Questions

Is HubSpot's free CRM really free for Indian businesses?

Yes. HubSpot's own pages say the free CRM has no expiration date, no credit card, up to 2 users and 1,000 contacts. The paid tiers are priced in rupees on hubspot.in, "subject to applicable tax". Checked 31 October 2026.

Does HubSpot show prices in rupees?

Yes, on its India site. hubspot.in/pricing has an INR (Rs) selector, and on 31 October 2026 it showed Sales Hub Starter from ₹585 per seat per month against a regular ₹1,670, and Sales Hub Professional from ₹7,497 plus a one-time ₹1,25,000 onboarding fee. The Starter figure is for new customers for a limited time.

How many users can I add to the HubSpot free CRM?

Up to 2. When you upgrade to Starter, HubSpot says free seats are removed, so your existing users become paid seats. Extra people who only need to look can have a free View-Only Seat, but they cannot edit records or log activity.

Can I send solar quotes from HubSpot's free plan?

By the pages we read, a new free account cannot create quotes. HubSpot says legacy quotes are no longer available to new users, and creating a quote needs a Revenue Hub seat, listed at ₹7,087 per seat per month for Professional. Its free CRM page still lists sales quotes, so test it in a new account before relying on it.

Does HubSpot work with WhatsApp?

Yes, on paid plans. HubSpot's WhatsApp channel needs Marketing Hub or Service Hub Professional or Enterprise. Service Hub Professional starts at ₹7,497 per seat per month on its India page, with a one-time ₹1,25,000 onboarding fee, and template messages are capped at 1,000 a month. It is not part of the free CRM.

Is HubSpot a good CRM for a solar installer in India?

It is a good general CRM, and its free plan suits one or two people. Its pages we read do not mention solar, subsidies or DISCOM steps, so you build those fields and stages yourself. Past 2 users or a need for in-CRM proposals, the cost climbs. A solar-built CRM suits teams that want that work done.

Can I use HubSpot and Quickest together?

Yes, by process, not by integration. We do not claim a connection between them. A common split is HubSpot for marketing and web forms, and Quickest for site visits and proposals, with a written rule on which tool owns a customer from the moment a visit is booked.

How do I move my leads from HubSpot to Quickest?

Export your contacts and deals from HubSpot as CSV, clean the file in Excel, add solar columns such as kW and DISCOM, and use Quickest's bulk Excel import for the live leads. Keep HubSpot read-only for a month. HubSpot allows up to 300 exports in 24 hours and needs Export permission.

Is this comparison independent?

No. QuickEstimate sells Quickest Solar CRM. Every HubSpot fact comes from HubSpot's own pages, read on 31 October 2026, and we did not test a HubSpot account. Prices and limits change, so check the linked pages before you decide. We plan to review them again in April 2027.
