Your sales rep is standing on a customer's terrace in Surat, phone in one hand, measuring tape in the other. Three new WhatsApp enquiries have landed in the last hour. By the time he climbs down and types a fresh reply to each one, two of those leads have already messaged the next EPC on Google Maps. This is the daily reality of solar sales in India, and it is exactly the problem that quick replies for WhatsApp solar sales were built to solve.
According to JMK Research, 2025, roughly 8 out of 10 residential solar enquiries in India now start on WhatsApp. The EPC that replies first, with a clear and confident message, usually gets the site survey. Reps who type every message from scratch are slow, inconsistent, and prone to quoting wrong subsidy figures under pressure.
This post gives you 25 ready templates, grouped by sales stage, written in plain Indian English with placeholders like {name} and {kW}. Save them as WhatsApp Business quick replies, train your team on them this week, and stop losing leads to slow typing.
Key takeaway
Quick replies for WhatsApp solar sales are pre-saved message templates your reps send in two taps. This post gives you 25 copy-paste templates across 7 sales stages, built on the 4R Reply System (Respond, Reassure, Reference a number, Request next step). Save them in WhatsApp Business under Settings, then Business Tools, then Quick Replies.
Why quick replies decide who wins the deal
Speed is the single biggest lever in WhatsApp solar sales, and quick replies are the cheapest way to get faster. A rep who types every message fresh takes 4 to 6 minutes per reply. A rep with saved quick replies takes under 30 seconds.
The data behind this is hard to ignore. WhatsApp messages in India see open rates near 98%, against roughly 20% for email, according to industry benchmarks compiled by Mercom India, 2025. And our own WhatsApp conversion benchmarks for solar show leads answered within 5 minutes convert at 3 to 4 times the rate of leads answered after an hour.
Here is the opinionated take, backed by platform data. Most EPC owners we work with obsess over lead generation spend and ignore reply speed. That is backwards. According to QuickEstimate platform data, 2025, EPCs that standardised their first-response message cut average reply time from 47 minutes to under 5, without hiring anyone new.

One misconception worth correcting right away. Many owners believe quick replies make reps sound robotic. They do, only if the templates are robotic. A template written the way your best rep actually talks, with the customer's name and one real number in it, reads as personal. The customer never sees the shortcut.
The 4R Reply System
Every template in this post follows one structure, the 4R Reply System: Respond, Reassure, Reference a number, Request next step. It is the pattern we extracted from the highest-converting WhatsApp conversations on our platform.
Most solar WhatsApp messages fail because they do only one of the four. A rep replies fast (Respond) but gives no proof (Reassure), no concrete figure (Reference), and no clear ask (Request). The customer reads it, thinks "okay", and goes back to comparing three other quotes.
-
1
Respond to what they actually asked
Answer the exact question in the first line. If they asked the price of 3 kW, the first line talks about 3 kW price, not about your company history.
-
2
Reassure with one trust marker
One line of proof: years in business, installations completed in their city, MNRE registration, or a nearby customer they can visit. One marker only, never a list.
-
3
Reference a number
A price range, a subsidy amount, a monthly saving, or a payback period. Vague messages get ignored. A specific ₹ figure gives the customer something to react to.
-
4
Request one next step
Ask for exactly one thing: an electricity bill photo, a survey slot, or a yes to a call. One question per message. Two questions and you get silence.
Note. Every template below marks the placeholders in curly braces, like {name} and {kW}. Train your reps to replace every placeholder before sending. A message that goes out with "{amount}" still in it does more damage than a slow reply.
First response templates (1 to 4)
The first response has one job: keep the lead warm until your rep can have a real conversation. Send it within 5 minutes, even if the detailed answer comes later. These four cover the most common opening messages an Indian solar EPC receives.
Template 1, new enquiry asking for price:
Namaste {name} ji, thank you for contacting {company}.
For a {kW} kW rooftop system, the price after PM Surya Ghar
subsidy is usually Rs {amount range}. Exact price depends on
your roof and DISCOM. Can you share a photo of your latest
electricity bill? I will send an exact quote today.
Template 2, enquiry that came after business hours:
Good morning {name} ji, sorry we missed your message last
evening. We have installed {number}+ rooftop systems in
{city}. A {kW} kW system saves most homes Rs {savings} per
month on the bill. What is a good time today for a 5 minute
call?
Template 3, lead from Facebook or IndiaMART:
Hi {name}, this is {rep name} from {company}. You enquired
about solar on {source}. Homes in {area} with a {kW} kW
system are getting up to Rs 78,000 central subsidy under PM
Surya Ghar. Shall I send you a one page estimate for your
roof size?
Template 4, referral lead:
Namaste {name} ji, {referrer name} gave me your number and
said you are thinking about solar. We did their {kW} kW
system in {month}, and their bill dropped from Rs {old bill}
to about Rs {new bill}. Would you like the same calculation
done for your home?
Fast tip. Never send the full quotation in the first reply. The first reply exists to start a conversation and capture the bill photo. The quote goes out after you know their monthly units, not before.
If you want more first-touch and nurture sequences beyond these four, our WhatsApp follow-up templates for solar post has full multi-day cadences.
Price objection templates (5 to 9)
Price is the objection your reps hear most, and the one where ad-lib replies do the most damage. A rep under pressure either discounts too fast or argues. Both lose the deal. These five templates hold the line on value while staying polite. For deeper objection handling, pair these with our guide on handling the solar price objection.
Template 5, "bahut mehenga hai" (too expensive):
I understand {name} ji, Rs {amount} is a big decision. One
way to see it: your monthly saving of about Rs {savings}
means the system pays for itself in roughly {years} years.
After that, the power is nearly free for 20+ years. Can I
show you this math on one page?
Template 6, "competitor is cheaper":
You are right to compare, {name} ji. Please check 3 things
in any cheaper quote: module brand and wattage, inverter
warranty years, and whether structure and net metering
charges are included. Our Rs {amount} quote includes all
three. If you share their quote, I will compare line by
line, no obligation.
Template 7, "discount milega kya":
{name} ji, instead of a fake discount on an inflated
price, I keep one honest rate for everyone. What I can do:
if you confirm before {date}, I will include {free item, e.g.
module cleaning kit or extended structure warranty} worth
Rs {amount} free. Does that work?
Template 8, "budget nahi hai abhi":
Totally understand {name} ji. Many of our customers use the
bank loan route under PM Surya Ghar, EMI comes to around
Rs {emi} per month for {years} years, often less than the
bill saving of Rs {savings}. So the system nearly pays its
own EMI. Want me to send the loan details?
Template 9, customer went silent after seeing the quote:
Hi {name} ji, no pressure at all. Just checking if the Rs
{amount} estimate for your {kW} kW system raised any
questions on price, subsidy, or anything else. Even a
"not now" reply helps me stop disturbing you. What would
you like to do?
₹ math. On a 3 kW system quoted at ₹1.9 lakh, the ₹78,000 central subsidy under PM Surya Ghar brings the customer outlay to about ₹1.12 lakh, and at roughly ₹3,000 monthly bill saving the payback lands near 3.1 years.
Here is the second opinionated take. Template 9, the "even a no helps" message, recovers more dead deals than any discount. According to QuickEstimate platform data, 2025, breakup-style messages like Template 9 get a reply rate roughly double that of plain "following up" nudges. People respond when you give them permission to say no.
Subsidy question templates (10 to 13)
Subsidy is where Indian residential solar is won or lost in 2026. The PM Surya Ghar Muft Bijli Yojana offers a Central Financial Assistance (CFA) of up to ₹78,000, according to the PM Surya Ghar National Portal, 2026. Customers are confused about eligibility, and the rep who explains it clearly wins the trust. These templates also connect with our explainer on how to calculate PM Surya Ghar subsidy.
Template 10, "subsidy kitni milegi":
{name} ji, central subsidy is fixed by system size: Rs
30,000 per kW up to 2 kW, and Rs 78,000 total for 3 kW or
more. For your {kW} kW system, that is Rs {subsidy amount}
credited directly to your bank account after commissioning.
It is government money, not a discount from us.
Template 11, "subsidy kab aur kaise aati hai":
Good question {name} ji. After your system is commissioned
and the DISCOM inspection is done, the subsidy goes straight
to your bank account through the National Portal, usually
within 30 days as per portal guidelines. We handle the full
application for you, you only share Aadhaar, bank details,
and the bill.
Template 12, "kya main eligible hoon":
The main conditions are simple {name} ji: you own the house
and roof, you have a valid electricity connection in your
name, and you have not taken a solar subsidy before. The
system must use ALMM listed modules, which we always supply.
If you share your bill, I can confirm your eligibility in 10
minutes.
Template 13, "loan bhi milta hai kya":
Yes {name} ji. Under PM Surya Ghar, household customers can
get a collateral free loan up to Rs 2 lakh at around 7%
interest through public sector banks, as per the scheme
guidelines. EMI for your {kW} kW system would be roughly
Rs {emi} per month. Want me to connect you with our bank
contact?
Note. Subsidy rules change. Before saving Templates 10 to 13, verify the current slabs on the PM Surya Ghar National Portal and cross-check with MNRE. A template with an outdated slab costs you credibility faster than no template at all.
Site survey booking templates (14 to 17)
The site survey is the commitment milestone. Once a customer agrees to let your team on their roof, close rates jump sharply. These four templates push for the slot without sounding pushy.
Template 14, proposing the survey:
{name} ji, to give you an exact price I need a quick look
at your roof, it takes 20 to 30 minutes and is completely
free. Our engineer checks shadow, roof strength, and meter
position. I have {day} at {time} or {day} at {time} open in
{area}. Which suits you?
Template 15, confirming a booked survey:
Confirmed {name} ji. Our engineer {engineer name} will
reach your home on {day} at {time}. He will call you 30
minutes before arriving. Please keep one recent electricity
bill handy, it helps us size the system correctly on the
spot.
Template 16, customer is hesitating to book:
No worries {name} ji, there is no charge and no obligation
with the survey. Most customers tell us the 30 minutes
cleared all their doubts about subsidy and savings, even
the ones who booked later. Shall I pencil you in for
{day}? You can always reschedule.
Template 17, rescheduling politely:
Of course {name} ji, these things happen. I have moved your
survey from {old day} to {new day} at {time}. Our engineer
will call before reaching. Is there anything you would like
us to prepare, like a loan option or a specific brand quote,
for that visit?
Fast tip. Always offer two slots, never an open "when are you free?" Two options force a decision. An open question invites "I will tell you later", which usually means never.
Once the survey is done, the next message should carry the proposal itself. Our post on sending solar proposals on WhatsApp covers that message in detail.
Follow-up nudge templates (18 to 21)
Follow-up is where most Indian EPCs lose deals they should have won. The proposal goes out, the rep waits, and the customer forgets. A simple Day 3, Day 7, Day 14 cadence fixes this, and we cover the automation side in automating follow-up on WhatsApp for solar.
Template 18, Day 3 after proposal:
Hi {name} ji, just checking you received the {kW} kW
proposal I sent on {day}. The short version: net cost Rs
{amount} after subsidy, saving about Rs {savings} per month,
payback around {years} years. Happy to explain any line on
a quick call. What questions came up?
Template 19, Day 7 with social proof:
{name} ji, we just commissioned a {kW} kW system for
{customer name} in {nearby area}, same size as yours. Their
first bill dropped by about Rs {savings}. You are welcome
to speak with them before deciding. Shall I arrange a 2
minute introduction call?
Template 20, Day 14 with a soft deadline:
Hi {name} ji, one honest update: module prices for the
brand in your quote are confirmed only till {date}. After
that your Rs {amount} estimate may change by 2 to 3%. If
you confirm this week, I lock today's price for you. Should
I hold the slot?
Template 21, last call before closing the file:
{name} ji, I will stop following up after this message, I
do not want to disturb you. If solar is on hold, just reply
HOLD and I will check back in {month}. If you have chosen
someone else, no problem at all, reply DONE. And if you are
still deciding, reply CALL and I will ring you today.
Watch out. Never send two nudges within 48 hours. One message per cadence step, each with new information (social proof, a deadline, or an exit door). Repeated "any update?" messages train the customer to ignore you.
A hypothetical example to show the cadence working: a 5 kW residential lead in Pune (MSEDCL area) went silent after a ₹2.6 lakh quote. The rep sent Template 18 on Day 3, Template 19 on Day 7 with a nearby customer's bill drop of ₹4,100 per month, and the customer replied the same evening asking for the loan option. Deal closed at ₹2.45 lakh net of subsidy. Hypothetical, but the pattern matches what we see across hundreds of pipelines.
Closing and referral ask templates (22 to 25)
The last stage is two jobs: get the yes, then turn the yes into the next three leads. Referrals are the cheapest channel an Indian EPC has, and most never ask. These four templates close the loop.
Template 22, asking for the advance:
Great news {name} ji. To book your installation slot for
{date range} and lock today's price, the booking advance is
Rs {amount} ({percent}% of the order value). You can pay by
UPI to {upi id} or bank transfer, receipt follows
immediately. Shall I send the payment details and order
confirmation format?
Template 23, post-installation thank you:
Congratulations {name} ji, your {kW} kW system is now
generating. A few things: your warranty documents are
attached, my number stays with you for any service need,
and your first reduced bill should arrive in the next
cycle. It has been a pleasure working with you.
Template 24, the referral ask (send 2 to 4 weeks after install):
Hi {name} ji, hope the bills are looking smaller already.
One small request: if any neighbour, relative, or colleague
in {city} asks about your system, would you share my
number? As a thank you, we do a free panel cleaning visit
for every referral that books a survey. No limit.
Template 25, subsidy credited confirmation:
{name} ji, your subsidy of Rs {amount} should now be
credited to your bank account, please check and confirm.
Your solar journey is complete: installation done, net
meter running, subsidy received. Thank you for trusting
{company}. Do send us a photo of your first near-zero bill,
we would love to celebrate it with you.
Templates 23 to 25 do something most EPCs skip: they script the relationship after the money is collected. That is exactly where referrals come from. For a fuller system around this, see our WhatsApp solar sales strategy guide and the companion post on client communication for solar businesses.
Setting up quick replies and using them well
All 25 templates take about 30 minutes to set up. On WhatsApp Business, go to Settings, then Business Tools, then Quick Replies, and save each template with a shortcut like /price1 or /survey2. Your rep then types the shortcut in any chat and the full message appears. If you outgrow the Business app's limits, the WhatsApp Business API route supports richer template management, and our comparison of WhatsApp Business vs personal WhatsApp for solar helps you pick the right tier.
There is a real tradeoff here, and pretending otherwise would be dishonest. Quick replies trade flexibility for speed. A template can never fit a situation perfectly, and a rep who sends templates blindly, without reading the customer's message, will occasionally send a subsidy answer to a service complaint. The fix is not fewer templates. It is a rule: the rep edits at least the {name} and one other placeholder before every send. Personalisation is the tax you pay for speed.
Pros
- ✓Reply time drops from minutes to under 30 seconds per lead.
- ✓Every rep quotes the same subsidy slabs and prices, no more rogue numbers.
- ✓New reps sound like your best rep from day one.
- ✓You can measure which template converts and improve it.
Cons
- ✗Lazy sending reads as robotic if placeholders are not replaced.
- ✗Templates go stale when subsidy rules or prices change.
- ✗WhatsApp Business caps you at 50 saved replies, so pruning matters.
- ✗Complex commercial quotes still need a human-written message.
Where do quick replies sit against the other tools in your kit? This table sums up the options an Indian solar EPC actually has.
| Approach | Speed | Consistency | Best for |
|---|---|---|---|
| Typing every reply fresh | 4 to 6 min per reply | Low, varies by rep mood | Complex commercial negotiations |
| WhatsApp Business quick replies | Under 30 sec | High, one approved wording | Solo installers and small EPC teams |
| CRM-triggered WhatsApp messages | Automatic at set stages | Highest, tied to pipeline stage | Scaling EPCs with 3+ reps |
| Chatbots | Instant | High but rigid | After-hours lead capture and FAQs |
And when you are ready to organise which templates to send at which stage, this stage-to-template map keeps the team aligned.
| Sales stage | Templates | Timing rule | Best for |
|---|---|---|---|
| First response | 1 to 4 | Within 5 minutes | Every new inbound lead |
| Price objection | 5 to 9 | Same day as the objection | Quote-stage stalls |
| Subsidy questions | 10 to 13 | Immediately, numbers verified | Residential PM Surya Ghar leads |
| Survey booking | 14 to 17 | Within 24 hours of interest | Converting chat to site visit |
| Follow-up nudge | 18 to 21 | Day 3, 7, 14 cadence | Proposals gone quiet |
| Closing and referral | 22 to 25 | At decision, and 2 to 4 weeks post-install | Advances and referral engine |
How QuickEstimate fits
Quick replies handle the conversation. QuickEstimate handles what happens next. Your rep uses Template 1, gets the bill photo, and then needs a branded, subsidy-correct proposal in the customer's chat before the lead cools. That is the gap our app closes: from the same phone, the rep generates the PDF in 60 seconds, sends it on WhatsApp, and the follow-up reminders for Templates 18 to 21 schedule themselves against the pipeline stage. Rohit, a 12-person EPC owner in Surat, sees every one of those sends on his dashboard without asking anyone.
- Proposal Generator, 60-second branded PDF with PM Surya Ghar subsidy pre-filled, so Template 3's promise of an estimate today is actually kept.
- WhatsApp Follow-up, send the proposal inside the chat and get Day 3, 7, 14 nudge reminders automatically.
- Pipeline Management, see which rep replied, who is following up, and which deal is sleeping.
- Lead Capture, pull Facebook and IndiaMART leads straight into the pipeline so the first response template goes out faster.
The Free plan covers 10 proposals a month, no card needed, and the Pro plan is ₹6,999 per user per year for teams. Details are on our pricing page.
What to do this week
You do not need a workshop to put this live. Three evenings of focused work gets your whole team on templates.
- Tonight: pick 10 of the 25 templates that match your most common chats. Save them in WhatsApp Business with short shortcuts (/first, /price, /subsidy, /survey).
- Tomorrow: fill in your real numbers. Your actual price ranges, your city's savings figures, your engineer's name. Delete any placeholder you cannot fill honestly.
- Day 3: sit with your reps for 30 minutes. Each rep sends 5 templates to your own number and edits the placeholders out loud. Fix anything that sounds stiff.
- Day 5: set the follow-up cadence rule (Day 3, 7, 14) and decide who owns it. If you want it enforced automatically, book a demo and we will show the reminder workflow on your own pipeline.
- Day 7: review replies. Which templates got answers? Which got silence? Rewrite the worst two and repeat monthly.
Templates are a living asset, not a one-time setup. Subsidy slabs change, module prices move, and your city mix shifts. Schedule a 15-minute template review on the first Monday of every month, and your WhatsApp channel will keep getting faster instead of slowly going stale.
Frequently asked questions
How many quick replies can I save in WhatsApp Business?
WhatsApp Business allows up to 50 saved quick replies per account, according to WhatsApp's business documentation, 2026. For a solar EPC, 25 well-maintained templates are usually enough. Save the rest as labelled message templates in your CRM or a shared note, and rotate them into the app as your sales mix changes.
Will customers know I am using a template?
Not if you personalise every send. Replace the {name} placeholder, adjust one number to the customer's actual situation, and the message reads as typed fresh. Templates fail only when reps send them untouched. Make "edit before send" a team rule, and check a random sample of chats each week to enforce it.
What is the best first response time for a solar lead on WhatsApp?
Under 5 minutes is the benchmark. According to QuickEstimate platform data, 2025, leads answered within 5 minutes convert to site surveys at 3 to 4 times the rate of leads answered after an hour. A saved first-response template is the simplest way to hit that window consistently, even when your rep is on a rooftop.
Can I use these templates for commercial solar leads?
The structure works, but the numbers do not. Commercial and industrial buyers (25 kW and above) do not get PM Surya Ghar CFA, and their decisions run on payback period, acceleration of depreciation benefits, and roof lease terms. Rewrite Templates 10 to 13 with your commercial financing options before using them with factory or hospital clients.
How do I keep subsidy figures in my templates accurate?
Check the PM Surya Ghar National Portal and MNRE on the first Monday of every month. The central subsidy slabs (₹30,000 per kW up to 2 kW, ₹78,000 total for 3 kW and above, per the portal, 2026) are stable but not guaranteed forever. Assign one person, usually you or your senior rep, as the owner of template accuracy.
Do quick replies work in Hindi or Gujarati?
Yes, and they often work better. If your leads message you in Hindi or Gujarati, your templates should reply in the same language. Keep one English and one regional version of your top 10 templates, with separate shortcuts (/price and /price-hi). QuickEstimate's app interface itself runs in English, Hindi, and Gujarati for the same reason.
What is the difference between quick replies and WhatsApp message templates?
Quick replies are shortcuts inside the WhatsApp Business app, typed by your rep during a live chat. Message templates are pre-approved formats under the WhatsApp Business API, used for outbound messages to users who have not messaged you in the last 24 hours. Most small EPCs need only quick replies. API templates matter once you send hundreds of outbound follow-ups a week.
